Refund Policy

Understanding our cancellation and refund procedures

1. Overview

This Refund Policy applies to all payments made to Hitech Education Fair, a group company of AppTech Infosoft Pvt Ltd, for services including but not limited to exhibitor/stall bookings, premium listings, and other paid services. Please read this policy carefully before making any payment.

2. Student Registration

Registration for students to attend our education fairs is completely free. No refunds are applicable as no payments are collected for student registration.

3. Exhibitor/Stall Booking Refund Policy

For universities, colleges, and institutions booking stalls at our education fairs, the following refund policy applies:

Important Notes for Exhibitors:

  • All cancellation requests must be submitted in writing to partners@hitecheducationfair.com
  • Refunds will be processed within 15-20 business days after approval
  • Payment gateway fees are non-refundable
  • GST paid is non-refundable once filed with government
  • Bank charges for refund transactions will be borne by the customer

4. Event Cancellation by Organizer

If Hitech Education Fair cancels an event due to unforeseen circumstances:

  • Full Refund: 100% of the stall booking amount will be refunded
  • Option to Reschedule: You may choose to participate in a future event instead of refund
  • Processing Time: Refunds will be processed within 10-15 business days
  • Force Majeure: In case of government-mandated lockdowns or natural disasters, we reserve the right to reschedule events rather than offer refunds

5. Event Postponement by Organizer

If an event is postponed to a later date:

  • Your stall booking will automatically be transferred to the new date
  • No refund will be offered for postponement
  • You may request a refund within 7 days of postponement announcement (subject to cancellation policy above)

6. Early Bird Discount Cancellation

If you booked under an early bird discount offer and cancel:

  • The discount amount is not refundable
  • Refund will be calculated on the actual amount paid
  • Cancellation fees apply as per the standard policy

7. How to Request a Refund

To request a refund, please follow these steps:

  1. Send an email to raj@hitecheducationfair.com with subject line "Refund Request - [Invoice Number]"
  2. Include your booking reference number, event name, and reason for cancellation
  3. Attach proof of payment (bank receipt/transaction screenshot)
  4. Our team will acknowledge your request within 3 business days
  5. Refund assessment and approval will take 7-10 business days

8. Processing Time

  • Approval: 7-10 business days after receiving complete documentation
  • Refund Transfer: 10-15 business days after approval
  • Total Estimated Time: 20-25 business days from request submission
  • Processing may take longer during peak seasons or holidays

9. Refund Method

Refunds will be processed using the original payment method used at the time of booking:

  • Credit/Debit Card: Refund to the same card (5-10 business days)
  • Net Banking: Refund to the same bank account (3-7 business days)
  • UPI: Refund to the same UPI ID (2-5 business days)
  • Cheque: Not available for refunds
  • Cash: Refund via bank transfer only

10. Non-Refundable Items

The following are non-refundable under any circumstances:

  • Payment gateway/convenience fees
  • GST and other government taxes already remitted
  • Bank charges for bounced payments or chargebacks
  • Customized services already delivered
  • Any services consumed partially or fully

11. Chargebacks and Disputes

If you initiate a chargeback with your bank before requesting a refund from us:

  • We reserve the right to contest the chargeback with appropriate documentation
  • Additional administrative fees may apply
  • You may be liable for chargeback reversal fees
  • We recommend contacting us directly before initiating any chargeback

12. Exceptional Circumstances

Refund requests due to exceptional circumstances (medical emergencies, natural disasters, etc.) will be reviewed on a case-by-case basis. Supporting documentation must be provided. The decision of Hitech Education Fair management will be final and binding.

14. Amendments to This Policy

We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting on this page. The policy in effect at the time of your booking will apply to your transaction.

If you are not satisfied with the resolution of your refund request, you may escalate the matter to our Grievance Officer:
